Publish, draft and hide

An item has two states that matter to guests: Published, which is visible, and Draft, which is not. Draft is the tool for everything temporary — a sold-out dish, a seasonal item, a menu being prepared — and it is the reason you should almost never delete anything.

Change the status from the list

  1. Open All items under the menu type.
  2. Find the row. During service, the search box is faster than scrolling.
  3. Switch the status between Published and Draft.
  4. Wait for the confirmation.

The change takes effect on the public menu immediately, subject to any page cache the site uses.

What Draft preserves

Everything. The title, the descriptions, the prices, the photos, the allergens, the category, the position in the order and the translations all stay exactly as they were. Republishing restores the item complete.

This is why Draft — not deletion — is the correct answer to "we are not serving this today".

Statuses and translations

On a multilingual site, changing the status of an item applies to that item and all of its translations. The confirmation says so: Post and its translations published or … moved to draft.

That is deliberate. A dish that is unavailable is unavailable in every language, and a menu that is published in Spanish but draft in English would show guests two different restaurants.

The consequence: you cannot publish an item in one language only. If a translation is not ready, the whole item waits.

Everyday patterns

Sold out during service. Set the item to Draft. Set it back to Published when it returns.

Seasonal items. Draft the whole group at the end of the season and publish it again when the season starts. Nothing has to be recreated.

Preparing a new menu. Create the items as drafts, complete them at your own pace, review them, and publish them together when the menu launches.

A dish under review. Draft it while the kitchen decides. It stays out of the guest's view without anyone losing the work.

What Draft does not do

  • It does not remove the item from a PDF that was already generated. Regenerate the file.
  • It does not affect a printed QR code, which points at a menu, not at a dish.
  • It does not hide the item from staff. Drafts are visible in All items and can be found with the status filter.
  • It does not delete anything.

Finding drafts

Use the status filter on All items:

  • Draft to review everything currently hidden — do this before a launch and after a season ends;
  • Published to check exactly what guests can see;
  • All statuses for the full list.

A menu carrying twenty forgotten drafts is not a problem for guests, but it makes every future review slower.

Checking the result

Whatever the change, confirm it the same way:

  1. Open the public menu in a private window.
  2. Reload once.
  3. Confirm the item appears — or does not.
  4. If the old state persists, the site's page cache or CDN is still serving the earlier copy.

Do not use deletion as a hide

Deleting an item from All items is permanent: there is no trash and no restore, and menu items keep no revision history. If there is any chance the dish comes back, Draft is the only safe action.
