On-site check-in workflow
POM Events records registrations, not door attendance. There is no check-in screen. This is how to run a door with what the plugin provides.
The day before
- Open the event.
- Resolve the attendee lists: promote pending waiting-list people, cancel confirmed withdrawals.
- Read the comments — accessibility and dietary notes are needed at the door, not in the office.
- Export to CSV or XLS.
- Sort the file by name.
- Add an empty Attended column.
- Print it, or load it on a device that works offline.
Export after the last changes. The file is a snapshot.
What to take
- The confirmed list, sorted by name — the door list.
- The waiting list, in case confirmed attendees do not arrive.
- The comments column, for requirements.
- Telephone numbers, for the people who do not turn up.
- A pen, or a device that does not depend on the venue's network.
Do not rely on opening WordPress at the venue. Venue connectivity is the least reliable part of any event.
At the door
Tick names as people arrive. Mark the Attended column.
For someone who is not on the list:
- Check the waiting list section of your export.
- Check the cancelled section — people do change their minds without telling you.
- Check whether they used a different email address.
- For a paid event, ask for their order confirmation; a paid order may exist without an attendee record.
- Decide whether to admit them, according to your capacity and your policy.
Paid events
Bring the order reconciliation with you. Because enrollment depends on the buyer reaching the order confirmation page, a paid attendee can legitimately be missing from the list.
The practical safeguard is to reconcile paid orders against the attendee list the day before, and to carry both.
Recording attendance
Attendance lives in your file, not in WordPress. After the event, keep the marked-up export with your event records.
If attendance must be visible inside WordPress, the supported options are:
- keep the file with the event's documentation;
- have a developer add a column to the attendee table through the supported extension point — see Attendee table columns.
Using the statuses as attendance
Some teams move no-shows to Cancelled after the event so the confirmed list becomes the attended list.
It works, at a cost: you lose the difference between "cancelled in advance" and "did not turn up", which matter differently when planning the next edition. If you do it, make it a written policy so the lists mean the same thing to everyone.
After the door closes
- Note the total attended and the no-show rate.
- Note anyone admitted from the waiting list.
- Note anyone who arrived without a registration.
- Keep the marked-up file.
- Continue with the post-event workflow.
