Move a registration between statuses
Moving someone between Confirmed, Waiting list and Cancelled is a single action on their row.
How to do it
- Open the event.
- Find the person in the Event assistants panel.
- Open the Actions control on their row.
- Choose the destination.
- The row moves to the target section immediately.
There is nothing to save. The change is applied as soon as you choose.
The options you will see
The control offers only the moves that apply to the row's current section:
| Current section | Options |
|---|---|
| Confirmed | Move to waiting list · Move to cancelled |
| Waiting list | Move to attendants · Move to cancelled |
| Cancelled | Move to attendants · Move to waiting list |
Move to attendants is the promotion to confirmed.
What moving does not do
It does not notify anyone. No email is sent in either direction. Promoting someone from the waiting list is invisible to them until you tell them.
It does not check capacity. You can promote more people than the event has places for. The plugin does not stop you, so watch the confirmed count.
It does not keep a history. There is no record of who moved a registration, or when. If that matters, keep the note outside the plugin.
Always contact the person
The move is administrative; the communication is not. After promoting someone from the waiting list:
- Use the email link on their row to write to them.
- Or use the telephone link, if the event is close.
- Say clearly that they now have a place, and when the event is.
- Give them a deadline to confirm if you need one.
- Note that you contacted them somewhere your team can see.
Without step 1 or 2, the person still believes they are on the waiting list — and you have a place occupied by someone who will not come.
Common moves
Promoting from the waiting list. A place is released. Take the top waiting-list row, move it to attendants, contact the person.
Cancelling at the attendee's request. Someone writes to say they cannot come. Move their row to cancelled, then promote a waiting-list person into the released place.
Reinstating a cancellation. Someone changes their mind. Move their row back to attendants, if there is room.
Parking an uncertain registration. Someone may or may not come. Moving them to the waiting list frees the place in your count without deleting the record.
Doing several at once
There is no bulk action; each row is moved individually. For a large promotion round:
- Export the list first, so you have a record of the state before the changes.
- Work top to bottom through the waiting list.
- Contact each person as you go, rather than promoting twenty and then writing twenty messages.
- Re-check the confirmed count when you finish.
Verify
- Move a row and confirm it appears in the target section.
- Confirm the source section's empty message appears if it is now empty.
- Reload the event and confirm the change persisted.
- Check the Assistants column on the events list.
- Export and confirm the status column matches.
