Account and billing basics

Orders, invoices, subscriptions and renewals — and how they connect to what you can actually use.

Orders and invoices

Orders lists every purchase with its status and its invoice. That is the standard shop area, and it is where you go for a document your accountant needs.

The status matters beyond bookkeeping: a license is only usable while its order is in a paid state.

Order state Effect on your products
Completed or otherwise paid Everything works
Pending, on hold New access is normally not active yet; a qualifying delayed renewal may temporarily preserve existing access
Cancelled, refunded, failed Access ends

Subscriptions

Subscriptions lists what renews. Each one shows its status, its next payment and its billing period.

Many Pomatio licenses and services renew through a subscription. When that subscription lapses, the entitlement that depends on it stops being active — an installed product keeps its existing files, but licensing-dependent validation and updates stop.

Renewal and expiry

Your license card shows Expires / renews, or No expiration for a lifetime license.

What happens at that date depends on the subscription behind it. A successful renewal moves the date forward and nothing changes for you. A failed renewal moves the license out of its active state.

Renew before the date rather than after: a lapsed license means a site that stops validating, and restoring entitlement can take longer than keeping the renewal current.

Payments that clear late

Some payment methods — bank transfer and direct debit among them — confirm after checkout rather than during it.

While a new payment is unconfirmed, its order remains in a non-paid state and normally grants no new access. A qualifying delayed renewal can temporarily preserve existing access while the payment clears. Check the license or service badge for the current effective state; support cannot mark an unsettled payment as paid.

Refunds

A refunded order ends the access it granted. Licenses stop validating and services stop.

Changing your email address

Everything in your account hangs off your user account, so changing your address in Account details keeps your licenses, credits and commissions intact.

What you must not do is buy again with a different address to "fix" something. That creates a second account, and the two cannot see each other's products.

Payment methods

Payment methods stores the card or mandate used for renewals. Keeping it current is the single most effective thing you can do to avoid an interrupted license: most lapses are expired cards, not deliberate cancellations.

VAT and company details

Invoices use the billing details on your account. If you need a company name and tax number on them, set those in Addresses before your next renewal — invoices are issued from what is stored at that moment.

What billing does not control

  • Domain slots come from your plan, not from how much you paid this month.
  • AI credits are their own balance; paying a subscription invoice does not top them up outside its normal grant.
  • Commission payments to partners are handled in the partner area, not through orders.
