Legal and fiscal details
Record the organization details that your site's legal content can reuse. Enter them once in Settings → General settings, then insert them with the legal shortcodes.
This feature stores and displays information. It does not determine which disclosures your organization is legally required to publish and is not a substitute for professional legal advice.
Before you begin
You need:
- the Administrator, Editor or Shop manager role on the intended site;
- the approved legal name, address and tax identifier;
- the exact registry wording, if applicable;
- a monitored contact address for legal correspondence.
Use values supplied by the responsible organization or its adviser. Do not guess or copy details from an unrelated invoice.
Enter the details
- Open the intended site's dashboard.
- Go to Settings → General settings.
- Complete the five fields below.
- Remove any example or placeholder text that does not describe the organization.
- Select Save Changes and confirm Settings saved.
| Field | What to enter |
|---|---|
| Fiscal name | The complete legal name of the organization, or the responsible individual's name |
| Fiscal address | The approved legal or fiscal address, including the detail required for publication |
| NIF | The applicable tax or identification number |
| Mercantile register | The complete registry statement supplied for the organization, where applicable |
| Email for legal issues | A valid email address that is actively monitored |
Important choices
Mercantile register
The field may initially contain example wording that illustrates a city, volume, folio, section, entry and page. Example text is not a valid disclosure. Replace it with the organization's real statement or clear it when the approved content does not use it.
The field accepts limited formatting, but plain text is usually the most portable choice for reuse in pages and footers.
Legal email
Use an address whose messages are reviewed consistently. A role-based address can remain stable when staff changes, but the responsible organization should decide which address is appropriate.
Site-by-site values
In multisite, each site has its own fields. Saving values on one site does not copy them to another subsite. This separation lets each site publish the details of its own responsible entity, but it also means every applicable site must be reviewed.
Expected result
The stored values are available to the legal shortcodes on that site. Editing a field later updates every rendered occurrence of its shortcode without editing each page individually.
Verify before publishing
- Open every page or template that uses a legal shortcode.
- Read each complete sentence and check punctuation around the inserted values.
- Compare the rendered name, address, identifier and registry statement with the approved source.
- Send a test message to the legal email and confirm the mailbox is monitored.
- Repeat the review on every relevant site in a multisite network.
Common problems
- Example registry text is visible: replace or clear the placeholder in Settings → General settings.
- A sentence contains a blank space: the shortcode's field is empty; fill it or rewrite the sentence so the optional value is not required.
- The wrong organization appears: confirm you edited the correct site's dashboard.
- An invoice still has old data: account invoices and WooCommerce store data use their own billing settings.
Scope and limitations
These fields do not create a legal notice, privacy policy, cookie policy or terms. They supply reusable facts to content written and approved separately. Review the required documents and wording for the site's jurisdiction and activity with an appropriate adviser.
