The Docs library
Use Documentation → Docs library on the documentation site to inspect documents in their category hierarchy, find drafts or stale entries and manually order documents that are not controlled by a Markdown manifest.
Opening it
Open Documentation → Docs library. You need permission to edit other documentation posts. The screen is available only on the dedicated documentation site.
The top summary shows document, category, published, uncategorized and draft counts. Standard list returns to the normal WordPress table, and Add document opens the normal document editor when your account can create documents.
What it shows
Every document not in the trash is loaded into one hierarchy-first view:
- Uncategorized documents first, in their own section.
- Then the full category tree, depth first: a parent category, its children and their descendants, with the documents grouped beneath each one.
A document assigned to several categories appears once, under its deepest assigned category. When two assigned categories are equally deep, the first one in the visible tree wins. Every assigned path still shows as a label on the document's card.
Categories with no documents are shown too, unless you enable Hide empty categories. Here, "empty" means no documents are grouped directly under that category; it may still contain populated child categories.
Ordering documents
Drag a document card by its move handle to move it up or down within its category. Dropping it saves the complete visible order for that category, and a message beside the category confirms the save or tells you to reload.
Three constraints worth knowing before you try:
- You cannot drag a document into another category. Change its categories in the document itself.
- Uncategorized documents cannot be reordered from this screen.
- Ordering is disabled while a search or status filter is hiding part of a category. Clear the search and select All statuses first.
Synchronized documents are ordered by the manifest
For documentation managed by Sync docs, the product's manifest is authoritative. A later synchronization restores each document's order from it, overwriting what you dragged.
So:
- For synchronized documentation, change the order in the product's
<product-slug>-docs-manifest.jsonand synchronize again. - Use drag-and-drop for documents that have no Markdown source, where nothing will overwrite it.
Finding things
The toolbar offers:
- Instant search across title, slug, category path, status and post ID.
- A status filter, listing the statuses actually present.
- An option to hide categories with no documents grouped directly under them.
- A live count of the documents currently visible.
Press / anywhere outside a form field to jump to the search box.
The sidebar
The left sidebar mirrors the category tree and highlights the section you are looking at as you scroll, keeping the active entry in view. Selecting a category scrolls smoothly to its section.
Each category heading links to its public archive, so you can check what readers see.
The document cards
Each card shows the document's status, title, ID, slug, modification date and assigned categories, with the usual edit and view actions. Drafts offer a preview instead of a public link.
Review a documentation branch
- Clear the search and select All statuses.
- Find the product's root category in the sidebar.
- Inspect every child topic and confirm documents are grouped as expected.
- Use the status filter to review drafts separately.
- Open the public category archives and representative documents to verify the reader-facing result.
- For synchronized documentation, correct grouping or order in the repository and synchronize again.
Expected result
Every maintained document appears once under its intended deepest category. Drafts remain clearly marked, public links open published documents, and manual ordering is saved only where the manifest will not overwrite it.
Troubleshooting
- Dragging is disabled: clear the search and reset the status filter to All statuses.
- A document appears under the wrong category: edit its assigned categories, or correct its source directory and synchronize again.
- A manual order reverts: the document is synchronized; update the product manifest instead.
- An expected document is absent: check the status filter, search text and trash, then review the latest synchronization result.
- The category tree is too sparse: clear Hide empty categories to display the complete hierarchy.
What it does not do
- No bulk actions — use the standard post table.
- No editing in place.
- No inline creation. Add document opens the normal editor.
- No moving documents between categories.
